1. Who we are and scope
“Co-Women”, “we”, “our” and “us” refer to the sole trader business operated by Jo Child, trading as Co-Women. Business contact address: High Street, Hurstpierpoint. Email: jo@co-women.org. Website: www.co-women.org.
These terms apply to our website, paid memberships, member community, events and relevant collaborations. The price, term, benefits and any specific event conditions displayed at checkout also form part of the agreement. If an event listing states a different cancellation deadline, that listing takes precedence for that event, subject to applicable law.
2. Website terms and acceptable use
You may use our website and member spaces only for lawful purposes. You must not harvest member details, send unsolicited marketing, impersonate others, upload unlawful or infringing content, introduce malicious software, attempt unauthorised access, or harass, threaten or discriminate against anyone. Respect confidentiality, intellectual property and the privacy of other members.
We may remove content or restrict access where reasonably necessary to protect members, our systems or the community. We aim to keep our website and platforms available but cannot guarantee uninterrupted access. Information shared by members is their own and does not constitute advice or endorsement by Co-Women. Nothing in these terms excludes liability that cannot legally be excluded.
3. Membership, payments and renewal
Membership provides access to the benefits, resources, conversations and events described for the selected plan during its active term. It does not guarantee any particular number of introductions, leads, sales, event attendances or business results. Members choose how much to participate.
Membership renews automatically at the frequency and price disclosed when joining or renewing unless cancelled. Payment is collected using the payment provider shown at checkout. Members should keep payment details current. We will communicate proposed price or material service changes in advance as required by law and the applicable agreement.
If payment fails, we may contact the member and allow a reasonable opportunity to resolve it before restricting access or ending membership. We will not impose undisclosed fees.
4. Cancelling a membership
Members can cancel future renewal through their Heartbeat account or contact jo@co-women.org for assistance. Cancellation stops future renewals in accordance with the billing terms shown at signup; access ordinarily continues until the end of the paid period. Please retain confirmation of cancellation. We will not require a further monthly payment solely because a member asks us to process a cancellation, unless a clearly agreed notice term lawfully applies to that membership.
5. Membership refund policy
Our voluntary 30-day refund policy applies to a member’s initial purchase of a new membership. Requests must be submitted in writing to jo@co-women.org within 30 calendar days of the membership start date, giving enough details to identify the payment. We will confirm eligibility and arrange a refund to the original payment method where practicable.
After the initial 30-day period, membership payments are ordinarily non-refundable, including where a member has not attended events, accessed resources, participated in discussions, used available benefits, or achieved anticipated commercial outcomes. Membership pays for access and availability of the membership service, rather than for a guaranteed level of use.
A voluntary extension, complimentary access or other goodwill gesture is discretionary and does not convert unused time into cash credit, create a new refund period, or establish an entitlement to further concessions. We do not retrospectively refund expired membership periods solely because available benefits were not used.
These terms do not affect statutory rights, including rights relating to services not supplied with reasonable care and skill, services not provided as agreed, or any applicable consumer cancellation rights. Where UK consumer distance-selling rules apply, the statutory 14-day cancellation provisions and any legally required information about immediate digital/service access take precedence. We will assess each request under applicable law, and the terms agreed at purchase. The 30-day voluntary policy must not be presented as limiting those rights.
6. Community participation and conduct
Co-Women is a welcoming, inclusive, cross-sector business community. Members are encouraged to attend, build relationships, share expertise and treat one another professionally. No minimum number of paid event attendances or one-to-one meetings is imposed under this draft. Bullying, harassment, discriminatory conduct, intimidation, deliberate exclusion and misuse of members’ contact information are not acceptable.
Where a serious concern arises, we may investigate fairly, hear relevant accounts and take proportionate steps, including a warning, restriction or termination of membership. Any refund on termination will be assessed under applicable law and the circumstances. Members remain responsible for contracts and transactions they make directly with one another.
7. Skill swaps and pro bono support
Skill swaps and pro bono arrangements are voluntary. Members are encouraged to set boundaries, agree any reciprocation in advance and ensure recommendations are genuine and appropriately disclosed. Our complete Skill Swaps for Commercial Benefit Policy is available in the Co-Women Membership Handbook:Read the Skill Swaps Policy
This guidance does not require members to provide unpaid services, referrals or positive reviews.
8. Event bookings, cancellations and refunds
For most events, we offer a full refund when cancellation is received at least two working days before the event. Cancellations within two working days and non-attendance are ordinarily non-refundable. A specific event listing may state different terms, which should be read before booking.
The standard two-working-day refund rule does not apply to the annual Christmas party and awards celebration, or to trips and events involving committed accommodation, flights, venue hire or catering. The applicable cancellation and refund terms for these events will be set out clearly on the booking page before payment. Any statutory rights remain unaffected.
If Co-Women cancels an event, we will offer the refund or alternative required by applicable law and the booking terms. Any change to date, location or material event features will be communicated promptly, with appropriate options offered.
9. Event collaborations
Collaborations involving co-hosting, promotion, shared costs or event listings require a separate written agreement specifying responsibilities, fees, promotional commitments, cancellations and financial exposure. Any hosting or promotion fee, including a percentage-based fee, must be disclosed and accepted before commitment. Any additional cancellation charge must be agreed in advance and be reasonable and lawful. Free event promotion is subject to the community’s current publishing rules.
10. Intellectual property and third-party services
Unless stated otherwise, Co-Women owns or licenses its website content, brand assets and original materials. Members retain ownership of their own content but grant us permission to display content they choose to submit within the community for community operation. Separate permission will be sought where needed for external promotional reuse. Third-party services, including Heartbeat and payment providers, have their own applicable terms.
11. Privacy, cookies and data protection
Jo Child, trading as Co-Women, is the data controller. Please read the Privacy Policy and Cookies Policy appended to this document for further details of personal data handling and website cookies.
12. Liability, changes, law and contact
We will exercise reasonable care and skill in providing services. Nothing excludes liability for death or personal injury caused by negligence, fraud, or other liability that cannot lawfully be limited. Any other limitation is subject to applicable consumer and business law. We may update these terms prospectively, providing appropriate notice of material changes and respecting existing contractual rights. The law and jurisdiction applicable to any dispute will be determined under relevant UK law and mandatory consumer protections.
